Background

This case study focuses on how we transformed a dental practice coaching firm from manual efforts in data gathering using google sheet to using a state of the art role-based access control web application that can be scaled across all its 800+ customers.

What started as a one-liner requirement bloomed into a full-service, full-fledged web application that catered to not just a couple of departments but also multiple business units.

Data could be exchanged between different functions and there was one single application to view all the data at once.

Implementation Details

It all started with improving a shared windows desktop application that was installed on only one PC where one user catered to all team members’ requests. Once we converted the desktop app into a web application, the end users started asking for more and one thing led to another before we knew in the span of the next 6 months, the customer had already requested to convert three of their other data gathering/sharing tools (using Google Sheets) into enterprise-grade web applications.

These applications included helping dental coaches manage their client revenues, carry out practice assessments for acquisition purposes, as well as for the year-on-year assessment of the health of the practice, and finally a practice monitoring tool that pulls the data from the PMS into a KPI dashboard.

Impact

The project's success was recognized during one of the annual conferences of coaches

  • Time Savings: Reduced the average data collection time to capture revenue details for each coach
  • Increase in Productivity: Most of the time is spent in their core activities, such as spending time as a coach with practice owners rather than managing multiple spreadsheets and gathering data from multiple sources to prepare reports for the customers.
  • Data Security and Reliability: The end-users are now able to manage their own data sets without having privy to others’ data sets. Role-based Access Control (RBAC) ensured the users have access to only what they are supposed to see.
