Background

While working with thousands of independent dental practices Alex, Dental Card Services CEO, came across one common grouse from all the practice owners where they felt they were being robbed to manage their own data by the so-called SaaS offerings that managed their payments, data analytics and RCM solution. How can we democratise the SaaS solution where honest solutions can be built to solve the RCM issues for the practices and improve the overall accounts receivable situation?

Thus was born a comprehensive RCM solution Tooth Teller for dental practices, whether they are small and medium independent practices or large DSOs.

Key Objectives

  • Take multiple modes of payment from patients and automate the write-back to the patient record in the PMS; save payment method on file, take virtual or physical payment; enable ‘Pay Now’ option on practice website
  • Automate A/R using Campaigns,
  • Easy Payment Plan for patients to be able to pay in convenient installments.
  • Practice Analytics - Visualise the KPI Dashboard, Generate custom reports, Export to Excel, feed it to a data warehouse solution
  • Practice Assessment - Assess a practice’s financial and operational health condition before acquiring.

Implementation Details

Implementing a multi-tenant SaaS solution for any vertical is not an everyday task. It needs careful consideration for architecture, database design, user experience, data consistency and scalability. Much of the initial 35% of the time was spent consciously on getting the user experience right in terms of screens, user flow and logical business use cases. Which eventually proved to be an easy lift for the engineering team when the actual development started. Most of the business use cases were thoroughly thought through and the backend database design matched well with the business logic in the APIs.

The product also required the team to undergo the SOC2 and HIPAA certification to ensure the entire process was adhering to the data security guidelines and healthcare-related compliance. One of the unique features of the product is to chain all practices together for a DSO or any corporate entity that would like to work with multiple independent dental practices with heterogeneous PMSs. Ability for a chain admin to connect with multiple practices or reverse mapping of practices requesting chaining ability with the chain admin is implemented without any manual intervention.

Utmost care is taken to ensure PII and PHI data are handled with care and nothing is shared between entities or the implementing software.
