The client

A multi-location dental group running its practices on more than fifteen different practice-management systems, with leadership at headquarters responsible for performance across every location.

The challenge

Each practice held its own numbers inside its own PMS, and no two systems exported data the same way. Leadership could ask how the group was doing, but answering meant pulling reports location by location and stitching them together in spreadsheets.

  • 15+ heterogeneous PMS feeds meant different data shapes, field names, and quirks at every location.
  • There was no aggregated view of production, collection, A/R, or new patients across the group.
  • Comparing provider to provider or carrier to carrier was effectively impossible without manual reconciliation.
  • By the time the spreadsheets were assembled, the numbers were already stale.

What we built

A platform that pulled every practice's data into one unified warehouse and surfaced it through a single dashboard:

  • A data warehouse that ingested 15+ PMS feeds and normalized them into one consistent model.
  • A multi-location KPI dashboard covering production, collection, A/R, and new-patient metrics across the whole group.
  • The ability to slice by location, provider, and carrier, so leadership could compare like for like.
  • A single source of truth that replaced the manual spreadsheet roll-ups.

We started by mapping how each PMS represented the same metrics, built the normalization layer to reconcile them, and shaped the dashboard around the questions leadership actually asked.

The results

  • Leadership got their first aggregated, group-wide view of performance, drawn from every location at once.
  • Metrics from many different PMSs finally lined up in one consistent model.
  • Comparing location, provider, and carrier became a filter rather than a spreadsheet project.
  • Decisions could rest on a single source of truth instead of hand-assembled reports.

Why it worked

The platform did the hard reconciliation work once, in the warehouse, so that every metric meant the same thing no matter which PMS it came from — and then gave leadership the questions they cared about as simple filters. Built and run as an ongoing partnership, shaped by the people making the decisions.
