Let's talk about the dental software you're building.
Tell us what you have in mind — a new product, a multi-location roll-up, a PMS integration, revenue-cycle automation, or extra engineering hands. We'll give you an honest read on whether and how we can help, and a clear next step. No pitch, no obligation.

What happens next
How a conversation with us actually goes
There is no sales sequence waiting on the other side of this form. The first conversation is a 30-minute call with someone who builds dental software for a living, not a qualifier reading from a script. We will ask what you are trying to do, what systems you are running, and what has already been tried — and by the end of it you will have a straight answer about whether we are the right people for it.
Often that answer is yes, and the next step is a short paid discovery sprint that turns the ambition into a defined first release with a real number attached, before anyone commits to a build. Sometimes the answer is that you should buy an off-the-shelf product rather than build anything, or that the problem you have described is a data-definition problem rather than a software one. We would rather tell you that in week one than take a deposit and discover it in month six.
If we are not a fit, we will usually be able to point you somewhere more useful. Dentistry is a smaller world than it looks and we would rather be the people who gave you a helpful answer than the people who sold you the wrong project.
Before you write
What to include in your message
You do not need a specification. A few sentences is plenty. That said, the following details let us give you a far more useful first response rather than spending the call establishing basics:
- What you are trying to achieve — the business outcome, not the feature list. "We cannot see group-wide A/R" tells us more than "we need a dashboard".
- Which practice-management systems you run — Open Dental, Dentrix, Eaglesoft, Denticon, CareStack, Curve, tab32, or a mix. This single detail changes the shape of most answers.
- How many locations or practices are involved, and whether you are growing by acquisition.
- What already exists — an in-house team, a current vendor, a product in production, or a blank page.
- Any timing pressure — a contract ending, a funding round, an integration deadline, a migration you have already committed to.
If you are a founder and the idea is still confidential, say so and we will send an NDA before you share anything further. That is a normal request and not an awkward one.
Who we work with
Is Webstrail the right partner for you?
We build custom dental software and nothing else — for DSOs and multi-location groups, dental software providers, dental-tech founders, coaching and practice-management firms, GPOs and labs and adjacent businesses across North America.
Our work generally makes sense from around five locations upward, or at any size for companies whose product is dental software. Below that, off-the-shelf tools usually serve a single practice better than anything custom, and we will say so rather than take the work. If you are unsure which side of that line you are on, ask — it takes one call to establish.
Everything we build that touches patient data is engineered to HIPAA and SOC 2 Type II standards from the first line of code, and we sign Business Associate Agreements as a matter of course. You can read more in our Trust Center.
Questions
Frequently asked questions
How quickly will someone get back to me?
Within one business day, from a person rather than an autoresponder. If your enquiry is time-sensitive — a contract ending or a migration deadline — say so in the message and we will prioritize it.
Is the discovery call really free, and is it a sales pitch?
It is free and it is not a pitch. It is 30 minutes with someone technical who will give you an honest read on whether and how we can help. If we are not the right fit we will tell you on that call, and where we can we will point you somewhere more useful.
What does an engagement cost?
It depends on scope, integration depth and compliance obligations rather than on a price list — a single module against one practice-management system is a very different investment from a multi-tenant platform spanning several. Most engagements begin with a short paid discovery sprint that produces a defined first release and a real number before you commit to a build.
Can you sign an NDA before we discuss our idea?
Yes, and it is a routine request — particularly from founders. Mention it in your message and we will send one over before the call so you can speak freely.
Do you work with companies outside North America?
Our focus is North American dental companies, because the payer, clearinghouse and practice-management landscape is where our depth is. We do take selected work elsewhere, usually for existing clients or where the problem is integration and product engineering rather than US-specific billing.
We already have an in-house engineering team. Can you still help?
Yes, and it is a common arrangement. We embed alongside existing teams — often owning the integration layer or a specific module so your engineers stay on core product — working in your repositories, your sprint cadence and your review standards.
