Who we serve
One industry — dentistry. Every kind of dental company in it.
All we build is dental, but a GPO's problem isn't a founder's, and a DSO's isn't a coaching firm's. Webstrail builds and runs custom software for Dental Support Organizations, dental software providers, dental-tech founders, practice-coaching firms, group purchasing organizations, and dental labs — each with a dashboard and platform shaped to how that business actually works.
How we work
Why we only build for dental — and what that means for you
Webstrail is not a general software agency that takes dental clients. Dentistry is the only industry we build for, and that focus is a deliberate commercial decision rather than a marketing position. It means we arrive already knowing the things that otherwise consume the first two quarters of an engagement.
Concretely: we know that Eaglesoft has no usable API and needs database-level work at the practice, that Dentrix integration runs through a developer programme with its own constraints, that coordination of benefits sequencing causes a large share of preventable denials, and that a frequency limitation checked after submission is a denial you have already paid for. We know what a treatment coordinator actually does with a benefits response, and why a portal without treatment plans in it will not be used twice.
A generalist agency learns all of that on your budget and your timeline. That is the entire difference — not that our engineers are better, but that they are not starting from zero on the domain. It is also why we can tell you honestly, early, when what you are asking for should be bought rather than built.
The organizations below are the ones we build for. They have genuinely different problems — a GPO's constraint is not a founder's — so we build for each specifically rather than offering one platform and hoping.
Who we serve
Every corner of dental — built for, specifically
Below, the kinds of dental company we work with, the exact problem each one faces, and the software we've built to solve it. Explore any one in depth, or book a call and we'll help you decide where to start.
DSOs & multi-location dental groups
A Dental Support Organization (DSO) grows faster than its systems do. Acquire a practice on Eaglesoft, another on Denticon, a third on Open Dental, and suddenly there's no single source of truth for production, collections, or A/R. We build the software that makes a multi-location group behave like one business — a unified revenue cycle, multi-location KPI analytics drawn from every PMS into one warehouse, and a data layer that absorbs each new acquisition instead of triggering a fresh integration project.
For DSOs and multi-location dental groups, that means one revenue view, consistent KPIs the whole leadership team trusts, and automated eligibility and claims across a heterogeneous estate — then we run it, so it keeps working as you add locations and change systems.

Dental software is mostly the parts nobody demos — PMS edge cases, payer rules, PHI compliance, and integrations that break in production. Hiring for that is slow, and a generalist agency spends your budget learning what a clearinghouse is. We plug in as your embedded, dental-fluent engineering team: dedicated developers, staff augmentation, or a white-label build that ships under your brand.
Because we already know PMS integration, RCM, membership billing, and HIPAA-grade PHI handling, we're productive in week one, not month three. You keep ownership and roadmap control; we bring velocity and a team that already speaks dental.

You have a dental-tech idea and no engineering team. We're the product and engineering partner that gets you to market — MVP development that produces a real, usable product in months, not a prototype that stalls, with the PMS integration and PHI-safe engineering dental actually requires. We can act as a fractional-CTO-level partner and stay on as your build-and-run team as you grow.
Because we already know dentistry, you skip the expensive months a generalist spends learning your industry and get straight to a customer or a fundable milestone. And we'll tell you honestly when something isn't worth building yet.

Your methodology is your product — but it lives in spreadsheets and slide decks. That caps how many practices you can serve and how consistently you can deliver. We turn it into a real platform: role-based assessments and scorecards, a purpose-built dental CRM, and KPI dashboards that pull real production and collections data from the practices you coach.
We've replaced fragile spreadsheets with a role-based platform that 800+ dental practices now run on. It scales your program from dozens of practices to hundreds without adding manual work — and turns periodic check-ins into an always-on platform relationship.

A dental group purchasing organization (GPO) lives or dies on its member portal and vendor catalog — the place members log in to see negotiated pricing, browse suppliers, and transact. We build that operating platform: a clean member portal, a vendor catalog with contract-aware pricing, and the data plumbing that keeps members, vendors, and transactions in sync.
Usage data flows back so you can show members the savings they're getting and negotiate with vendors from real numbers. We've built the platform a dental buying group runs its members on, and we operate it after launch so it grows with your membership.

Not every dental company is a practice or a DSO. Dental labs, teledentistry providers, and insurance-adjacent businesses run on software too — and it has to integrate with the same practice-management and clearinghouse ecosystem. We build the specialized software your business runs on: lab management and case tracking, HIPAA-compliant teledentistry, and benefits tooling.
Everything is built PHI-safe and SOC 2 Type II / HIPAA-aware from the start, with the PMS and clearinghouse integrations that connect you to the practices you serve. Because we already live in the dental ecosystem, we build software that fits how your corner of it actually works.

Frequently asked questions
What kinds of dental companies does Webstrail work with?
We build custom software for every kind of dental company: Dental Support Organizations (DSOs) and multi-location groups, dental software providers and product companies, dental-tech founders and startups, practice-management and coaching firms, group purchasing organizations (GPOs), and dental labs and adjacent businesses. All we build is dental — but we tailor to each segment's specific problem, because a GPO's challenge isn't a founder's.
What is a DSO, and how do you help Dental Support Organizations?
A Dental Support Organization (DSO) provides the business side — billing, HR, technology, purchasing — for a network of dental practices. As a DSO grows, every location runs its own practice-management system and its own version of the numbers. We build the software that makes a multi-location group behave like one business: a unified revenue cycle, multi-location KPI analytics, and a data layer that absorbs each new acquisition. See our DSO software page.
Do you work with early-stage dental-tech startups and founders?
Yes. We're the product and engineering team dental-tech founders hire when they don't have one — MVP development that ships a real, usable product in months, plus fractional-CTO-level product strategy and the PMS integration and PHI-safe engineering dental requires. Many founders keep us as a build-and-run partner as they grow. See how we help founders.
Can Webstrail be our dedicated engineering team or build white-label?
Yes. Dental software providers use us as an embedded, dental-fluent engineering team — dedicated developers, staff augmentation, or a white-label build that ships under their brand. Because we already know PMS integration, RCM, and PHI handling, we're productive in week one, not month three, and you keep full ownership of the code and IP. See dental software providers.
Do you only work with large dental groups?
No. We work with single-idea founders, coaching firms, GPOs, and labs just as much as large DSOs. What our clients share is that they're dental companies who need software built and run properly — whether that's a first MVP or a platform spanning hundreds of practices. We scope every engagement to where you are today.
How do engagements with Webstrail usually start?
Most start with a free 30-minute discovery call, then a short discovery sprint that scopes the work — and the cost — before any build commitment. From there it usually becomes a build-and-run engagement, priced to the work rather than a fixed package. There's no pitch on the first call — just an honest read on whether we're a fit.
Do you work with individual dental practices?
Rarely, and we will usually say so early. Single practices are generally well served by off-the-shelf products, and commissioning custom software at that scale seldom pays back. Our work makes sense from roughly five locations upward, or at any size for companies whose product is dental software — providers, founders, coaching firms, GPOs and labs.
We do not fit neatly into any of these categories. Should we still get in touch?
Yes. The categories describe who we work with most often, not a qualifying test. If your business sits around dentistry and the software you need does not exist, that is precisely the kind of specialized build we take on. A discovery call costs you half an hour and will establish quickly whether we are the right partner.
