Dental software development services
Custom dental software development services, built for dentistry and nothing else.
Webstrail is the dental software development company DSOs, multi-location groups, dental software providers, and dental-tech founders hire to design, build, and run the software they depend on. Five service lines — revenue cycle, practice growth, patient experience, platform & integrations, and specialized builds — each engineered around your systems, your payers, and your workflows, with AI woven in where it moves the numbers.
Why custom
When custom dental software is the right call — and when it isn't
We will start with the argument against ourselves, because it saves everyone time. If your need is common, a product already does it well, and you are not trying to differentiate on it, buy the product. Practice-management systems, imaging software and payroll are bought, not built, and any agency telling a five-location group to build its own PMS is selling you something.
Custom becomes the right answer in three situations. The first is integration: when the value depends on your specific mix of practice-management systems, payers and workflows, no product fits because no product was built for your combination. The second is differentiation: when the software is the competitive advantage — the platform your coaching methodology runs on, the product you sell, the patient experience you want to own rather than rent. The third is scale economics: when a group is paying per-location licences for tools that no longer fit, and the arithmetic has quietly flipped.
Most dental companies we work with end up with a mix, and that is the healthy outcome. Buy the commodity, build the parts that set you apart, and integrate the two properly so the seams do not become someone's daily job. Our build vs. buy guide works through the decision in more detail, and a discovery call will usually surface the answer faster than a spreadsheet.
What we build
Every system a dental company runs on — and the platform beneath it
Below, each of our five service lines, what it does for your business, and the dashboards and platforms we've built to prove it. Explore any one in depth, or book a call and we'll help you decide where to start.
Dental revenue cycle management software
Revenue cycle management is where dental groups quietly lose money — not to fraud, but to eligibility that was never checked, claims that went out dirty, and A/R that no one had time to work. We build custom dental RCM software that closes those gaps end to end: real-time insurance eligibility verification written back into every PMS, automated claims and ERA/EOB reconciliation, A/R that works itself, and patient payments that actually get collected.
Built for DSOs, multi-location groups, and dental software companies, it ties your payers, clearinghouses, and practice-management systems into one reconciled revenue view — then we run it, so it keeps collecting as payer rules change.
Dental practice growth software & analytics
You can't grow a group on numbers you don't trust. We build the operating layer that turns a decade of practice data into decisions — a custom dental CRM shaped around patients, referrals, and lifetime value, multi-location KPI analytics drawn from every PMS into one warehouse, and AI that flags at-risk patients and high-value leads before they slip away.
It's the difference between running a DSO on gut feel and running it on a KPI dashboard the whole leadership team believes. We've replaced fragile spreadsheets with platforms hundreds of practices now run on, and we operate and extend them as you scale.
Dental patient experience software
The patient experience is software now — booking, paying, communicating, and reviewing all happen on a screen before anyone picks up a phone. We build the patient front door: real-time online scheduling that writes to your PMS, a branded patient portal, two-way texting that cuts no-shows, digital intake, and online payments that reconcile themselves.
Every piece is integrated with the systems behind the front desk, so the schedule, the ledger, and the patient stay in sync. Done right, it fills more of the schedule online, reduces no-shows, and makes paying effortless — for DSOs and dental-tech companies alike.
Dental PMS integration & platform development
Integration is where most dental software quietly stalls. The demo works, then real payer and PMS edge cases arrive. We've spent a decade building the layer underneath everything — deep two-way integration with Open Dental, Dentrix, Eaglesoft, Denticon, CareStack, Curve and tab32, a unified dental data layer over a mix of on-prem and cloud systems, and custom engines that migrate data between PMS vendors without downtime.
It's the unglamorous foundation that makes RCM, analytics, and patient tools actually work across a heterogeneous, multi-location estate — built PHI-safe and HL7/FHIR-aware from the first line of code.
Custom dental software development & specialized builds
Some of the best dental software doesn't fit a category. Production AI imaging and treatment-plan assistance, a dental education and LMS platform, a teledentistry app, a GPO member portal, a founder's first MVP, or a fast, SEO-ready marketing site. As a custom dental software development company, we take those specialized builds and design, build, and run them end to end.
Whether you're a dental-tech founder who needs a technical partner, a software provider who needs dedicated engineering, or a business adjacent to the chair, we bring the dental fluency — PMS integration, PHI handling, compliance — that a generalist agency spends your budget learning.
Questions
Frequently asked questions
How much does it cost to build custom dental software?
The cost of custom dental software depends on scope, integration depth, and compliance — not a fixed price list. A focused MVP or single module is a much smaller investment than a multi-tenant platform integrating several practice-management systems and carrying SOC 2 and HIPAA. The biggest cost drivers are how many systems you integrate with, how much PHI and compliance is involved, and whether you build once or build-and-run. Most engagements start with a short discovery sprint that scopes the work — and the cost — before any build commitment. See our guide to what custom dental software costs.
How long does it take to develop custom dental software?
A focused MVP or a single module can ship in a few months; a full multi-location platform with deep PMS integration and compliance takes longer and is delivered in stages. We start with a discovery sprint to scope the work, then ship in increments so you see working software early rather than waiting for a big-bang launch. Because we run what we build, the timeline never really ends — we keep improving and extending the software after go-live.
Which practice-management systems can you integrate with?
We've integrated every major dental PMS in production — Open Dental, Dentrix and Dentrix Ascend, Eaglesoft, Denticon, CareStack, Curve Dental, and tab32 — reading and writing patient, schedule, and ledger data both ways, plus clearinghouses (DentalXChange, Vyne, Change Healthcare, Availity) and payment processors. Because groups often run several systems at once, we build a unified data layer so your product works against one consistent model instead of each vendor's quirks.
Is your dental software HIPAA and SOC 2 compliant?
Yes. We build every PHI-handling system to HIPAA and SOC 2 Type II standards from the first line of code — access controls, encryption in transit and at rest, audit logging, MFA, and signed Business Associate Agreements — not bolted on at the end. Compliance is how we build, which matters for a vendor handling patient data. See our Trust Center and our HIPAA checklist for dental software.
Should we build custom dental software or buy off-the-shelf?
Buy off-the-shelf when your need is common and a product already fits it well; build custom when the software is a competitive differentiator, has to integrate deeply with your specific systems, or no product matches how you actually work. Most dental groups end up with a mix — buying commodity tools and building the parts that set them apart. We'll tell you honestly when buying is the smarter call. Our build vs. buy guide walks through the decision.
Do you only build new products, or work on existing dental software?
Both. We build from-scratch products and MVPs, modernize and rebuild legacy dental software, add new features and AI to existing platforms, integrate with practice-management systems, and provide dedicated engineering when a team needs extra hands. Whether you're a DSO, a dental software provider, or a founder, we meet you where your software is today.
Do you run the software after you build it?
Yes — most engagements continue as a build-and-run retainer. We operate, monitor, improve, and extend the software long after launch, because dental software that isn't maintained slowly stops working as payers change rules and PMSs change APIs. It's the part most vendors skip, and it's in our name: here for the build, and everything after.
What dental software development services does Webstrail offer?
Five service lines, all dental: revenue cycle management (eligibility, claims, A/R, payments), practice growth (CRM, multi-location analytics, AI), patient experience (portals, scheduling, communication, payments), platform & integrations (PMS integration, data layer, migration), and specialized builds (AI imaging, education, teledentistry, GPO portals, MVPs, and more).
How do you price custom dental software development?
To the work, not to a package. Scope, integration depth and compliance obligations are the real cost drivers — a single module integrating with one practice-management system is a very different investment from a multi-tenant platform spanning several PMSs with SOC 2 obligations. Every engagement starts with a short discovery sprint that produces a defined first release and a real number before you commit to a build.
Do we have to replace our practice-management system to work with you?
Almost never, and we would generally advise against it. We build around the systems you already run and integrate with them, which is faster, cheaper and far less disruptive than a group-wide PMS migration. Where a genuine migration is warranted we will say so and we have built the engines to do it safely, but it is not our default recommendation.
