Overview
Built for how you actually work
Custom software for dental group purchasing organizations — member portals, vendor catalogues with contracted pricing, ordering and punch-out, and rebate and savings reporting members actually trust.
A GPO's value proposition is simple to state and surprisingly hard to prove: members save money by buying through you. The negotiation that creates those savings is your core competence. The software that makes the savings visible, usable and provable is usually the constraint — and it is what members judge you on at renewal.
We build GPO platforms end to end: member onboarding and eligibility with proper hierarchy for DSO members, vendor catalogues carrying each member's contracted pricing, ordering or punch-out into distributor systems, and rebate and savings engines that produce a number capable of surviving scrutiny.
The commercial engine
What decides whether a GPO platform earns renewals
Savings that stand up. "You saved $40,000" is only useful if a member can see how it was calculated. Savings measured against a defensible baseline — list price, prior pricing, or market benchmarks — with a breakdown by category and location is what makes renewal conversations straightforward.
Pricing that is never stale. A catalogue showing last quarter's contracted price is actively harmful. Keeping vendor feeds current across distributors with different formats and product identifiers is the least glamorous and most important engineering in a GPO platform.
Ordering members will actually use. Most practices want to order the way they already order. Punch-out into distributor systems at the contracted price usually beats asking them to adopt a new purchasing workflow, and adoption is what generates the volume your agreements depend on.
DSO members modelled correctly. A DSO member is a hierarchy: a parent with many locations ordering independently but rolling up for volume commitments. Building this as a flat member list and retrofitting hierarchy later is a costly rebuild we have seen more than once.
Evidence for your own negotiations. Participation, contract compliance and vendor performance data is exactly what strengthens your position when you renegotiate terms — which compounds the value of the platform for the GPO itself, not just its members.
The problem
A GPO's value is aggregated pricing and a smooth member experience
Clunky member portal
Members struggle to find negotiated pricing, so they don't use the deals and value leaks.
Catalog & pricing sprawl
Vendor catalogs and contract pricing live in spreadsheets that are hard to keep current.
Manual onboarding
Adding members and vendors is a slog that limits how fast the group can grow.
No usage data
Without transaction data, the GPO can't prove value or negotiate better with vendors.
How we help
What we build for you
We build the operating platform for the buying group: a clean member portal where members see their negotiated pricing, a maintainable vendor catalog with contract-aware pricing, and the data integration that keeps catalogs, members, and transactions in sync. Usage data flows back so you can show members their savings.
We've built this for a dental GPO and run it after launch, so the platform grows with your membership.

Frequently asked questions
What software does a dental GPO need?
At its core, a member portal (where practices see negotiated pricing), a vendor catalog with contract-aware pricing, and the data plumbing that keeps members, vendors, and transactions consistent. Usage analytics prove value and strengthen vendor negotiations. Webstrail builds and runs these for dental GPOs.
Can you build a custom member portal and vendor catalog?
Yes — we've built a member portal and vendor catalog for a dental GPO, backed by the data plumbing that keeps it accurate, designed around your specific contracts and membership model.
Can members see their negotiated pricing automatically?
That's the point of building it custom. We wire contract and pricing data into the catalog so each member sees the pricing they're entitled to, without maintaining spreadsheets per member.
Do you provide analytics on member purchasing?
Yes — we capture transaction and usage data so you can show members their savings, spot which vendors drive value, and negotiate from real numbers.
What does a dental GPO platform need to include?
Member management with eligibility and tiering, a vendor catalogue with contracted pricing per member, ordering or punch-out to distributors, rebate and savings tracking, and reporting for both members and the GPO. The savings calculation is the commercial heart — it is what members assess the membership on when they renew.
Can you handle DSO members with dozens of locations?
Yes, and it needs to be designed in from the start. A DSO member is modelled as a parent organization with locations beneath it, each ordering independently while spend and volume commitments aggregate upward. Tiering, contracts and reporting all operate at both levels; retrofitting that hierarchy onto a flat member model is an expensive rebuild.
