How we approached it

Moving a decade of practice data without losing any of it

Migration projects are judged on a single question: does the financial history reconcile afterwards. Everything else — timeline, tooling, elegance — is secondary, because a practice that cannot prove what it was owed before the switch has a serious problem.

We began with an inventory rather than an extraction. Record counts, date ranges, custom fields added over the years, documents and imaging, and the gaps where a previous system change had truncated history. Skipping this step is how migrations discover missing data after cutover, at which point remediation is dramatically more expensive.

Extraction covered patients and households, complete appointment history, full ledgers with adjustments and write-offs, treatment plans and clinical history, insurance and plan detail, and documents. Financial history is the area most commonly under-scoped, and it is the area that matters most for continuity and audit.

Cleaning was deliberate and reversible. Duplicate patients merged on defined rules, addresses and phone numbers standardized, adjustment types mapped to a consistent scheme — with every transformation logged so any record could be traced to its source. Cleaning you cannot explain is worse than no cleaning at all.

Validation was where the engagement was actually won: record counts and financial totals reconciled against source reports to the penny, spot-checks on the most complex patients, and a signed validation report before anyone approved the cutover. The switch itself was a full load, a period of parallel running, a final incremental delta and a tested rollback plan — which we did not need, but which is what allows calm decisions on the night.

The client

A dental practice ready to leave on-premise software behind and run on the cloud — moving from Eaglesoft (on-premise) to Denticon (cloud).

The challenge

Switching practice-management systems is one of the riskiest moves a dental practice can make. Years of patient records, ledgers, treatment history, scheduling, and billing live inside the old system — in a data model that doesn't line up neatly with the new one. This practice needed to move without losing data and without going dark during business hours.

  • A botched migration means lost history, broken balances, and chaos at the front desk on Monday morning.
  • The two systems use very different data models, so fields don't map cleanly between them.
  • The practice had to keep seeing patients throughout — no extended downtime, no dark period.

What we built

A structured, validated PMS migration — built as a repeatable engine, not a one-off export:

  • Extracted and mapped patient records, ledgers, treatment history, and scheduling from Eaglesoft's on-premise database into Denticon's cloud data model.
  • Reconciled the fields that don't map cleanly between two very different systems — the unglamorous detail work where migrations usually break.
  • Validated everything — balances, record counts, and history — against the source before cutover, so nothing silently went missing.
  • Ran the cutover with minimal downtime, so the practice kept seeing patients and the team was working in Denticon almost immediately.

The results

  • A clean cutover to cloud Denticon with patient records, ledgers, and treatment history intact.
  • Near-zero downtime — the migration ran around the practice's schedule, not over it.
  • ~99.9% data-integrity rate, validated record-by-record against the source before go-live.
