How we approached it

Building an in-house plan that runs itself

Membership plans are commercially attractive and operationally fragile. They generate predictable revenue from uninsured patients, and they quietly collapse when enrolment, renewal and billing are handled by hand — a lapsed card nobody noticed becomes a patient receiving benefits they are no longer paying for.

We built the plan mechanics first: tiers, benefits, eligibility rules and pricing configurable by practice, with the plan itself defined as data rather than hard-coded, so the client could adjust terms without an engineering cycle.

Billing was the part that determined whether the programme worked. Recurring charges ran automatically against a stored card, soft declines retried on a sensible schedule, hard declines raised an exception with the patient's contact detail attached, and renewals processed without anyone assembling a list. Tokens stayed with the processor, keeping PCI scope small.

Benefit tracking mattered clinically and commercially. The system knew what each member was entitled to, what they had used, and what remained — visible to the front desk at the point of booking, so a member arriving for a covered hygiene visit did not generate a billing conversation.

Everything reconciled back to the practice-management ledger, so membership revenue appeared alongside every other payment rather than in a parallel spreadsheet. That integration is what turned the programme from an administrative burden into something the practice could grow deliberately, with visibility of active members, churn and revenue per plan.

The client

A dental membership / benefit-plan company whose software powers in-office membership plans — enrollment, billing, and the member experience — for dental practices and their patients.

The challenge

The platform worked, but it was showing its age in two ways that mattered. They didn't need a new product — they needed the one they had rebuilt properly.

  • A legacy .NET backend that was slow, expensive to maintain, and hard to extend with new features.
  • A dated, clunky interface that made enrollment and day-to-day use harder than it should be — friction that costs a membership business sign-ups and retention.

What we built

A full re-engineering of the platform — same business, modern foundation. We ran it as a re-platforming, not a rewrite-for-its-own-sake: preserve what worked, replace what held them back.

  • Backend migrated from .NET to a modern MERN stack (MongoDB, Express, React, Node) — faster, cleaner to maintain, and far easier to build on.
  • A complete UI/UX redesign — an intuitive, modern experience for both members enrolling in plans and staff administering them.
  • Rebuilt the core flows — plan enrollment, billing, and the member portal — to be quicker and simpler end to end.

  • Page loads roughly 3× faster — load times cut by about 65% after moving off the legacy stack.
